How Much Does Property Management Software Cost? A 2025 Breakdown

hand holding dollar bill

While certain property management software solutions seem affordable at first glance, the actual cost of doing business isn’t always transparent. Hidden fees, pricey add-ons, and tiered structures can quickly turn a once affordable solution into a much larger expense.

To get a clear picture of what you’ll actually spend, you need to account for more than just the advertised price you see online. Onboarding fees, tenant screening charges, maintenance coordination costs, and accounting fees all add up.

We’re breaking down the costs of four of the most widely used property management software options: TurboTenant, Buildium, Yardi Breeze, and RentRedi. By the end of this guide, you’ll know which solution fits your portfolio.

Understanding Initial Setup Costs

Setting up property management software often comes with initial costs that can sneak up on you. From onboarding fees to training costs to customization, here are the basic setup costs you should keep in mind.

Implementation and Onboarding

When switching to a new property management software, users often need help transferring existing data and getting acquainted with the new interface. Different companies offer various ways to help new users get up to speed.

TurboTenant offers a free onboarding course for new TurboTenant landlords seeking to learn to use all the features our property management software offers. The course provides over 90 minutes of detailed, on-demand video lessons.

Buildium offers implementation and onboarding services to its paid users, although prices aren’t listed on their website. New users can choose between a customized training plan with a live professional or enroll in the self-guided Buildium Academy to get on board.

Yardi Breeze offers customized implementation and onboarding services to help new users switch from other software brands. Each new user enjoys unlimited access to live chat support and between 8 and 16 hours of free phone support during setup and onboarding.

As with TurboTenant, RentRedi offers its users a suite of free landlord and tenant onboarding videos designed to help its users set up and navigate their software. RentRedi encourages users who need help onboarding to call during business hours, initiate a live chat, or email the support team.

Customization and White Labeling

Software customization and white labeling (branded portals, custom domains, unique feature modifications, etc.) often come at a cost. While many platforms include basic branding at no extra charge, deeper customization sometimes requires additional fees.

TurboTenant currently doesn’t currently offer customization or white-labeling options. Our current standardized platform gives landlords and tenants a consistent user experience with minimal opportunities for branding.

Buildium allows landlords to create customized email and communication templates and add branding (text, logo, and web address) to their online portals. These customization features come standard across all of Buildium’s paid plans.

Yardi Breeze landlords can create personalized property websites and add branding to their tenant portals with logos, text, and other critical business information. Yardi Breeze includes these customization features at no extra cost across all paid plans.

RentRedi doesn’t offer its users any customization or white labeling features at the time of writing. The platform emphasizes a one-size-fits-all approach, prioritizing functionality over customizable branding features.

Data Migration and Transition

Moving data from one property management system to another can involve additional fees. Costs vary based on the complexity of the migration, the volume of data transferred, and whether manual assistance or automated tools are required.

TurboTenant does not yet offer personalized data migration services, but we provide documentation on exporting essential data from other landlord software brands. Landlords who need further assistance should contact the TurboTenant support team.

Buildium offers premium data migration as part of its onboarding services. Unlike TurboTenant and RentRedi’s self-guided services, Buildium’s onboarding team will port data to their software on the landlord’s behalf. The price for this service is not publicly listed.

Yardi Breeze provides data migration features to new users as part of their onboarding package and does not charge a fee to convert and/or import data from a landlord’s previous software. Landlords having trouble migrating data are encouraged to contact support for assistance.

Like TurboTenant, RentRedi has online documentation detailing the data migration process, but only from the eRentPayment platform. Users who experience difficulty migrating data should contact the RentRedi support team for help.

Subscription Fees and Pricing Models

Property management software pricing typically follows a subscription model, with pricing operating on a flat monthly rate or a sliding scale based on the number of units.

Monthly vs. Annual Subscription Plans

There are pros and cons to the approach. Monthly plans provide flexibility but typically cost more in the long run. Annual plans usually cost less but require landlords to commit to a year or more of long-term use.

TurboTenant allows users to create accounts and access core services for free, but we also offer paid annual subscription plans:

  • Pro: $119 every 12 months
  • Premium: $149 every 12 months

TurboTenant does not offer month-to-month subscriptions.

Buildium offers three tiers of paid monthly subscriptions:

  • Essential: $58 minimum per month
  • Growth: $183 minimum per month
  • Premium: $375 minimum per month

Users who make annual lump-sum payments receive Buildium services at a 10% discount from the above prices. Interested parties can try before they buy with a 14-day free trial.

Yardi offers different subscription prices based on the type of property a landlord manages and which membership level they sign up for: Breeze or Breeze Premier.

  • Residential properties with Breeze: $100 minimum per month
  • Residential properties with Breeze Premier: $400 minimum per month
  • Commercial properties with Breeze: $200 minimum per month
  • Commercial properties with Breeze Premier: Contact for pricing
  • Affordable housing properties with Breeze Premier: $400 minimum per month
  • Associations properties with Breeze Premier: $400 minimum per month
  • Manufactured housing (MH) properties with Breeze Premier: Contact for pricing

These prices are based on an annual agreement.

RentRedi offers the following rates for software access:

  • Monthly: $29.95 per month
  • Bi-annual: $120 every 6 months
  • Annual: $144 every 12 months

Unlike all other options on this list, RentRedi only offers a single subscription tier.

Tiered Pricing Based on Property Portfolio Size

Some platforms use tiered pricing, where costs increase as your portfolio grows. Smaller landlords may access basic features at lower rates, while more extensive portfolios require pricier plans but offer access to more advanced tools.

TurboTenant does not implement tiered pricing based on the number of properties in a landlord’s portfolio. Instead, they allow landlords to manage unlimited rentals with our free and paid subscriptions. However, additional add-on features (like premium accounting and bookkeeping) operate under a tiered structure.

Buildium does implement tiered pricing based on the number of portfolios in a landlord’s portfolio in their Essential, Growth, and Premium plans. Pricing increases after 20 units with the Essential Plan, 50 units with the Growth Plan, and 150 units for the Premium Plan. Beyond that, tiered pricing operates at a variable rate. Visit the Buildium pricing page for more information.

Yardi Breeze does implement tiered pricing based on the number and type of properties in a landlord’s portfolio.

  • Residential: $1 per unit per month ($100/$400 minimum for Breeze/Breeze Premier)
  • Commercial: $2 per unit per month ($200 minimum for Breeze, contact for Breeze Premier pricing)
  • Affordable Housing: $3 per unit per month ($400 minimum for Breeze Premier)
  • Associations: $1 per unit per month ($400 minimum for Breeze Premier)
  • Manufactured Housing: Contact for Breeze Premier pricing

RentRedi does not implement tiered pricing based on the number of properties in a landlord’s portfolio. Landlords can manage unlimited properties with a subscription, though they will be subject to tiered pricing if and when they add on premium services like Rental Property Accounting.

Additional Features and Extra Costs

Property management software can include additional features that may add to a landlord’s overall costs. Features such as tenant screeningonline rent collection, and maintenance management sometimes require extra fees that landlords must account for.

Tenant Screening and Background Check

Tenant screening and background checks cover credit reports, criminal records, eviction histories, and employment verifications. Associated fees to run these reports are typically charged per application.

TurboTenant charges tenant screening fees on a per-application basis. These TransUnion screenings cover credit, criminal, employment, and eviction histories. Screening costs $55 in the free tierand landlords can pass the fee to the applicant or pay it themselves. Additionally, TurboTenant offers a more in-depth screening report that includes Income Insights to verify reported income. Standard screening is reduced to $45 in the paid tiers, and Premium includes Income Insights.

Buildium also utilizes TransUnion screening services to give landlords access to a tenant’s full credit, criminal, employment, and eviction data. Screening costs $17 per screen if paid by the landlord or $32 per screen if the landlord passes the cost to the applicant. Enhanced Tenant Screening costs $20 per screen.

Yardi Breeze implements a service called ScreeningWorks Pro, which is available as an add-on to all users. Landlords can use ScreeningWorks Pro to collect comprehensive data on a tenant’s credit, criminal, employment, and eviction history. Yardi does not publicly display its pricing for this service.

RentRedi partners with TransUnion to generate in-depth tenant screening reports like TurboTenant and Buildium. The $39.99 tenant screening fee is passed on to the tenant once they submit for screening in the RentRedi mobile app.

Online Rent Collection and Transaction Fees

Every property management platform on this list offers online rent payment options, which occasionally incur transaction fees. These costs are either a fixed amount per transaction or a percentage of each payment.

TurboTenant customers can accept rent payments, send automatic reminders, assess custom late fees, enable autopay, and generate rent receipts for free. The software passes many of the associated costs on to tenants. Residents who pay rent via ACH incur zero extra charges, and those paying with a credit or debit card must pay a 3.49% convenience fee.

Buildium users must pay to send and receive electronic funds transfers (ETFs), and their costs depend on which software tier they pay for:

  • Essential users:
    • Incoming EFT: $1.99 per transaction
    • Outgoing EFT: $.50 per transaction
    • Credit cards: 2.99% per transaction
  • Growth users:
    • Incoming EFT: $.60 per transaction
    • Outgoing EFT: $.50 per transaction
    • Credit cards: 2.99% per transaction
  • Premium users:
    • Incoming EFT: fees waived
    • Outgoing EFT: $.50 per transaction
    • Credit cards: 2.99% per transaction

In addition to paying for EFTs, Buildium users must also pay bank account setup fees:

  • Essential users: $99 per bank account
  • Growth users: 5 free bank accounts, then $99 per account thereafter
  • Premium users: 15 free bank accounts, then $99 per account thereafter

Yardi offers rent collection features similar to TurboTenant and Buildium, though they do not advertise associated fees publicly on their website. To watch a demo video outlining its rent collection features, Yardi requires that website visitors submit their contact information first.

RentRedi allows users to collect rent, set up late fees, enable autopay, and more through their online portal. Fees, which landlords can assume or pass on to tenants, are $1.00 for ACH payments and 3.1% + $.30 for credit and debit card payments.

Maintenance Management

Maintenance tracking and work order management features sometimes cost extra on top of a landlord’s base subscription. Often outsourced to a third-party company, these tools help streamline repairs and maintenance to ensure landlords maintain habitable standards for all renters.

TurboTenant allows tenants to submit free basic rental property maintenance management requests. Landlords can track and manage the repairs for the same cost. Beyond that, users can sign up for premium Maintenance Plus services, which outsource maintenance tasks to Lula for $149 per year to take maintenance off landlords’ plates.

Buildium allows users to offload tenant maintenance requests to a third party called Maintenance Contact Center. Buildium does not charge users extra to use their maintenance features, as all three membership tiers have unlimited access to them included.

Yardi Breeze allows users to organize maintenance requests, assign vendor tasks, track progress, and keep digital records. However, it appears as if their software doesn’t yet allow coordinated premium maintenance management through a third party.

RentRedi allows landlords and tenants to coordinate maintenance requests for free directly through the mobile app. Premium Maintenance, which coordinates with vendors to perform repairs on the landlord’s behalf, is available to landlords as a paid add-on; however, pricing isn’t listed publicly at the time of writing.

Property Marketing and Listing Syndication

Some property management platforms charge landlords extra fees for property marketing and listing syndication services. However, all four companies on this list include said services at no additional cost to the user.

TurboTenant users with free and paid plans can access rental advertising features that post property listings across dozens of major property listing websites, like Rent.com, Apartments.com, Realtor.com, and more. Property marketing is free for all TurboTenant users.

Buildium allows users to advertise their rental listings across websites like Zillow, Apartments.com, Dwellsy, RentPath, and more. This service is included in all Buildium plans, though landlords could incur fees directly with the listing websites if they pay for enhanced features or broader exposure.

Yardi Breeze customers enjoy free rental property advertising across multiple websites, including RentCafe.com. Premier customers can create customizable property websites and automate follow-ups with prospective tenants using their CRM queue.

RentRedi syndicates property descriptions across multiple listing websites for free. Further, RentRedi users can also create professional marketing pages to share on Facebook Marketplace, Craigslist, and more.

Lease Agreement Automation and E-Signatures

State-specific lease agreement automation and e-signature capabilities help simplify the rental contract process but may cost extra.

TurboTenant’s software allows Pro and Premium users to generate unlimited state-specific lease agreements and make lease addendums at no extra cost. Landlords who use TurboTenant’s free base-level software must pay $79 per lease agreement. Each purchased lease includes an e-signature, and Premium users can use e-sign documents as much as needed for no additional fees.

Buildium allows Essential, Growth, and Premium users to generate digital leases online with a customizable template within their secure portal at no extra cost. While collecting e-signatures doesn’t cost extra for Growth and Premium users, Essential users must pay $5 per e-signature.

Yardi Breeze Premier customers can generate legally binding state-specific rental contracts through their Lease Builder Plus feature (though only available in 40 states) at no extra cost. E-signature capabilities are included for all tiers and don’t incur extra charges.

RentRedi is the only property management software solution on this list that doesn’t allow landlords to generate state-specific leases within their platform. That said, it does enable landlords and tenants to e-sign leases at no extra cost.

Communication and Messaging Tools

Automated communication and messaging tools allow landlords to send reminders and updates. These tools are usually included with the subscription or available as paid add-on features.

TurboTenant allows landlords or tenants to engage in in-app or in-portal communication and stores all messages safely on a secure server. The platform includes each feature at no extra cost across the Free, Pro, and Premium tiers.

Buildium offers direct communication between landlord and tenant, mass announcements, message board postings, and more within the digital Resident Center. Buildium includes all messaging capabilities at no extra cost across all three paid subscription tiers.

Much like Buildium, Yardi Breeze allows landlords to initiate communication with tenants in various ways through their secure online portal. Whether sending mass messages, communicating with tenants directly, or following up with leads, Yardi Breeze customers can enjoy these capabilities at no extra cost.

RentRedi offers landlords, teammates, and tenants communication features like in-app messaging, maintenance coordination, and customizable access rules within the online portal. As you may have guessed, RentRedi includes these features at no extra cost for landlords.

User Support

User support and training are usually available as part of a paid subscription but sometimes cost an additional fee. All four options on this list include premium customer support in all paid subscriptions at no extra cost to the user.

Standard vs. Premium Customer Support

Standard support may include email assistance, live chat, forum access, and basic troubleshooting. Premium support typically offers faster response times through live chat, phone calls, and priority email support.
